Locations vis-a-vis Departments

We have several departments at one physical address. Do we set these up as one location or a location for each department?

Janet:

You set up one location, then attach each department to it. I am assuming that each department is a separate organization. In the Organization description window, you enter a unique name for the organizational unit, enter an organization type (if defined), then enter the location from the List of Values (LOV).

Than's all there is to it!

Only one location is needed. Many organizations can use the same "Location."

Janet:

I would recommend setting up one Location and multiple Organizations. Note that the location drives payroll taxation based on the location's address. Also, it might be easier for future reporting if you desire to report on all employees at that physical location regardless of their department.

There is not one perfect rule. Locations are shared with the Financial modules and there may some reasons why your specific business rules require more than one location at the specific physical location. Having said this, I would first make every reasonable attempt to define one location.

I agree with everyone's comments for pure HR organizations. However, if you are sharing the organizations with inventory (e.g., Inventory classification), each inventory org must have a unique location (some stupid restriction on the apps side). If this is the situation, simply create the same location with a separate designation such as Location X -- Org Y; Location X -- Org Z, etc. and use the same address.

Value Set and Responsibility

Hi All,

I am using standard Value Set 'PY_SRS_PAYROLL' in my custom report which is defined for PAyroll. If HRMS Manager runs this report, then he gets List of Values for parameter which is defined using above Value Set. But if I define same report ( including parameters) in other responsibility, the user get the message when they try to run this report :
'No List of Values found'.

Any help would be highly appreciated.

Hi.

I've set up about 30 hr secure users and their security profiles and everything is working great, except for datetrack. On my hr manager id I have the icons for date track and date track history as well as the appropriate menu options under special. None of the secure users have this. At the site level date track is enabled, date track security is all. Date track user APPS is in the secure user data group. HR user profile is HR user.

Any ideas what might be wrong? I've looked everywhere I can think of and they all match my hr manager responsibility.

Sorry buddy, I am not sure that i understand what your question is. But if the issue is that the datetrack remainder is not popping up, then apart from setting the DateTrack:Date Security to "all", u also need to set DateTrack:Reminder to "Always pop warning window"

This kind of sounded familiar to me, so I looked through my old TAR's and this is what I found.

Issue: Date Track reminder is showing up for Secure Users but the calendar icon is missing. Checked all profile options and can?t find reason for lack of appearance. Support researching.

Resolution: Had to recreate the Secure User responsibilities. They needed to be set up within the Oracle HR Application and had been set up within AOL (Application Object Library).

Advantages and Disadvantages of Element vs special info vs DFF

In an HR only implementation, what are the advantages/disadvantages to using elements vs. special information vs. DFF's? For example, if my client wants to track company cars driven by their executives, what would be the advantage of defining an element if I am not calculating anything from it?

I would recommend using Special Information Types for this type of data. Since this is informational only and does not influence any calculations, then elements seem like overkill.

Auditing User activity

We would like to monitor the hours/minutes of login time in our test HR/Payroll instance for each user. Does someone know the tables and columns that we could use to report (by user) the amount of time logged in to the application?

The delivered signon audit reports are not adequate, so we need to write our own query.

Mavis: Look into the User Auditing feature available within AOL. This will allow you to monitor details of user activity including screens navigated too, responsibilities used, etc. Let me know if you need more information.

Effective date of elements

A third party is loading payroll balances here at our 10.7SC 16.1 site. The seeded elements have an effective date of 01-JAN-0001. We have linked these standard elements with an effective date of 01-JAN-1900. Manually created elements and their links use an effective date of 01-JAN-1900. Oracle support is telling the third party doing balance conversions that our setup is wrong. They say all elements are required to be setup and linked using 01-JAN-0001. (Which is impossible to do through the form when the database is using the 'RR' format - Y2k compliant.) Yes, we can change the date using tools examine or by SQL scripts. (Not a cool thing to do, I'm thinkin'.)

Is Oracle support on drugs or what? Anybody encounter this before? Advice?

I would say they're on drugs. My last client used a the date the company was founded and my current client is using 01-JAN-1910.

We encountered that here and Oracle Support is not on drugs. All of the balance initialization elements should be set up with the same date as what Oracle's seeded elements are...01-JAN-0001. However, when you attempt to alter the effective date, the 0001 you entered, does change to 2001, which is still incorrect. I believe the person who did our balance load called this issue in as a TAR, and he did change the date through Tools, Examine which we were directed to do by Oracle Support. Hope this helps you out.

Perhaps Oracle has improved the balance intialization date issue with the new releases, but as I said in my prior e-mail, we had the same problems as John is experiencing and we are on release 10.7 Prod 16.1...



Y2K testing with elements

I've applied the appropriate Y2K patches for HR ver. 10.7 16.1SC (both client and server). When I date track to Feb 15, 2000 and try to change an existing element (ie: change the coverage for a medical benefit), I get the following error:

FRM-40735: ON-UPDATE trigger raised unhandled exception ORA-01841.

ORA-01841: (full) year must be between -4713 and +9999, and not be 0

Defining Elements

We are a HR Only site (10.7SC 16.1) and are defining elements like Life Insurance, AD&D, LTD, Buy up LTD etc. My understanding is that the primary classification needs to be Information as we have do not have Oracle Payroll.

With the classification Information, I have defined an element for Long Term Disability (LTD) of Processing type - Recurringand Termination rule Final Close. The input values need to validate the following: -

LTD is limited to an amount of 50% of earnings subject to monthly maximum of $4000

Similarly for Element Buy Up LTD validation is needed for :- Buy Up LTD is limited to 60% of earnings subject to monthly maximum of $4000

Would appreciate suggestions on how this can be designed.

The primary classification can be pre-tax. My current client is HR only but interfaces to ADP so we need to track what's pre-tax and what's after-tax. Here LTD is pre-tax.

As far as the calculation, my client had an entire cafeteria plan with flex spending. We implemented this through a custom form. We were able to do any calculations there. That's one option you can go for.

In addition to Lewis' comments, we had almost the identical needs that Nand has. We accomplished this with a combination of the custom library, custom database functions (to do the calculations), and a custom window which we called from the custom library when the user clicked in an element's input value that had a particular name (we called our input value 'Click for Info Window'). We use the input values for amounts that need to be entered and not computed (which there aren't any in this case) and for this dummy field that we used to trigger the custom library to pull up the custom window. (FYI.. this dummy input value couldn't be the first input value for an element - so for LTD, we have two dummy input values!)

The custom database function works really great for the calculation because we have the code in one place and can call it from Discoverer reports, SQL*Report reports or other custom windows. We didn't want to store the computed amount because the amount would need to be re-computed after salary changed, age changed or a multitude of other factors - basically we decided to stick with normalization rules!

The element screen offers qualifying conditions by number of days etc. Is there any other screen where this option can be enabled

The Element Link screen also has the same qualifying conditions based on length of service. I believe this is based on Hire Date, although I have never tried it. You can find it on the blue pull-down menu where the costing data is displayed.

Setting up Elements for Involuntary deductions and Garnishing

We are trying to set up several elements for various types of involuntary deductions in Oracle Payroll 10.7 and have a few questions:

* By calling an element an involuntary deduction, the system seems to default the start rule to 'on entry', the stop rule to 'total reached', and the amount rule to 'percent of earnings'. Is this correct? Will this cause underlying garnishment processing rules to be used?

* By setting an element to the category 'tax levy' and by completing the entry values boxes as suggested in the documentation, do the underlying processing rules allow for compliance with a Federal Tax Levy?

* How do the underlying processing rules know which voluntary deductions are allowable to be exempted from disposable earnings? For example, employees are allowed to pay union dues before the disposable earnings amount is determined.

* On the 'wage attachment earnings rules' screen, is there any documentation for the column headings?

Payroll Description Setup

I just wanted to share something that I believe many of you don't know.

When you setup a Payroll Description, it is not necessary to put the first payroll start EONS back. I always try to determine how much history the client is going to convert. If they are not going to convert history, then select the start day of the first pay period of the current year. If they are going to convert history, use the start day of the oldest year they are going to convert.

This is my 3rd client where I have come in after other consultants and the client has 20 years or more of old payroll calendars. Do yourselves and your clients a favor don't put in any more payrolls than you have to.

Another piece of advice, as long as you're reading. Don't do with many elements what you can do with one. If you have any questions, you can e-mail me or leave me a voice mail and I will get back to you.

Elements for data feed to vendors
