1099 conversions

Hi All,

We bought the company, which used the AP module of Lawson software application. They decided to shut down the Lawson software at the end of August for GOOD!

We have to download 1099 information into Oracle database for processing the end of this year tax reports.

Is there a technical way to download 1099 conversion into Oracle AP databases without creating invoices liabilities and GL accounts. I will be glad to create temp tables, modify 1099 Oracle report files, etc. However, I do not have Oracle Developer 2000 tool.

I have done this in the past. A couple of ways to handle this:

1) to the best of my knowledge, in the year you do a conversion you are allowed to submit 2 files to the IRS

2) Make sure all your AP data is posted for a month. Then enter the data for the 1099 suppliers (1 invoice for each supplier should suffice), pay those new invoices, transfer the new data and delete the JE in GL. That is pretty generic and depends on what modules are involved but I think you get the idea.

You have to create an invoice that is non-payable and there is no why not to create a journal. You have to have an audit trail.

Unfortunately for Steve our method involves a pay group and our "dummy" account. The paygroup is non-payable and creates a wash of the liability account and the "dummy account". The distribution set field proved very handy. We were able to avoid having to step into the distribution lines which is slow and tedious when entering two thousand entries.

The final 1099 forms and the tape have some heads up problems. ORACLE AP does not address all the boxes available on the 1099MISC such as Box 4 for federal withholding. We have to type these in and manually doctor the tape which is subject to error above the keyboard. You must have a good tax reporting address. The 1099 form has three lines only and only uses the first supplier site address line so a tax reportable address such as:

Roger Johnson
University of Tennessee
241 National Champ Drive
Knoxville TN 37916

would come out addressed:

Roger Johnson
University of Tennessee
Knoxville TN 37916.

Hopefully this will be fixed for 1999 but do not hold your breath.

Thanks for responding my request.

Based on these past email messages, I will present several 1099 conversion options to our management. If there is a huge manual effort, I may be able to develop my pl/sql scripts to automatically import new 1099 vendors and invoices into PO_VENDOR, PO_VENDOR_SITES_ALL, AP_EXPENSE_REPORT_HEADERS_ALL and AP_EXPENSE_REPORT_LINES_ALL tables. I do not know the timetable for converting 1099 vendor information.

Changing Site Name in MultiOrg environment

Subject: AP SITE PROBLEM?????

Hi,

We are on AP 11.0.3 and We have two operating units sharing the same set of vendors and the site names for all the vedors are same in both the operating units. When I am trying to change the name of the site in one Operating unit, it gices me an error message'Shared site.Can't change the name'. Has anybody encountered the same problem earlier? This is happeneing only with vendors that entered in AP screens and not happeneing with directly uploaded vendors.

My question is 'Which is the correct functionality?'. Site name shoudl be changeable or not.

I really appreciate your immediate inputs on this.

1) Sites are not shared in Multi-Org. What do you mean when you say the sites are shared?
2) You can change the site name in a Multi-org setup. I am on 11.0.3 and just confirmed that functionality.

The table loaded vendors will not have the issue because they do have the constraints placed on them the AP entered vendors do. You will notice some required fields are not entered, such as country in the location field of the site address, when you look at a table loaded vendor.

If you are having different operating units this problem should not occur as each operating unit will be assigned a separate org_id.

The vendor sites are different for different operating units.

Please check the following
After creating the operating units have you attached the Operating Unit in the profile option in system administration to the system option MO:Operating Unit. If you attach three different operating units to the three different responsibilities the vendor sites will be different for different responsibilities (or different operating units)

Mohan,

Supplier site created in one operating unit is unique for that operating unit. the same supplier if to be used in the other operating unit you will have to define the site.

Hi Everybody,

Thanks for your responses to this problem posted couple of weeks back. Since we found the solution for this problem, I thought I should share with all of you.

Problem description:

We have two operating units, 'A' and 'B' and we migrated suppliers from legacy system.In doing so, we loaded the same sites into both operating units as per our requirement. Later on when I tried to change the name of a site (the same name is used in both the operating units)in operating unit, I got an error message 'Site is shared by organizations'and it does not allow me to change the name.

Solution: when you create a site with the same name in two operating units, it assigns the same site id.(As per our DBA)Hence you get this error message and you can't change the name.
