Depreciation run - fa_large_rollback_segment error

Date: Fri, 27 Aug 1999 23:42:25 -0700 (PDT)
From: Ashok kumar_a_s@yahoo.com
Subject: FA_LARGE_ROLLBACK_SEGMENT

Hi,

In the fixed assets, we have multiple corporate books. But some of the book give problems while running the deprection. I observed that this problem occurs only when the last period of a fiscal year's depreciation is run.

I am enclosing the log for your reference

Hi Ashok,

In Fixed Assets, you need a very large exclusive Rollback Segment 800MB and assigned to this Profile Option. You may have to shutdown Concurrent Manager and start again.

Hi

Normally, this problem occurs if you have not defined the years in your FA calendar. Verify your FA Calendar definition. You can also try generating the periods of the next year manually and then run depreciation for the last period of the financial year.

Hope this will solve your problem.

Hi,

there is a "Large rollback segment" profile option and you need to set this for your Site / Application.

Otherwise it will error out.
Create a BIG rollback segment , if possible and enter that ROLLBACK SEGMENT option in this profile option.

We got the same error earlier and solved this problem by entering this profile option.....

All the best.

Hi all,

Has anyone worked on getting assetwise Opening balance details with MRC. Our client want to go live without MRC first and subsequently enable MRC, may be after a year. The documents states that when i do an assets conversion, while importing from an external system, the FA_MC_RATES table should also be populated.

However, in the given case, we will not be doing any import when we subsequently enable MRC. Can someone guide me as to how to get the opening balances in the Reporting Currency as and when we switch over to MRC.

Thanks in Advance

In this case you should use the method to run the transactions upgrade at a subsequent date for the Assets.

We have implemented MRC, but all our implementations went ahead with the current books being MRC enabled.

However, we had looked at the upgrade utilities and thought better than to use them because of constraints on time required for testing.

However, I am not sure how this would work for Assets but I beleive there is a lot of background work to be done on this. This is all mentioned in the Transactions Upgrade Documentation!

I hope this helps

Hi Mohan

We are in the commencing the process of loading legacy asset information into FA and are MRC enabled. It does seem that leagacy asset data cannot be uploaded through ADI. My questions:

1. Is this information correct?
2. Have you therefore, used SQL Loader for the task?
3. Any particular issues that you think we should be aware of...?

We are on Rel. 11.0.3.

I'm trying to bring assets in from the Mass Additions Interface tables, with a date of Jan-99. Is there something anyone can see that we may be doing wrong? Do I have to make sure that the GL date is Jan-99? I wouldn't think so but I'm not sure. When we tried to run our initial "Post Mass Additions" to bring our legacy assets into our test database, the program errored out and we got the log file shown below.

Please Help!!!!!!!

Sue,

There would be three areas I can think that should be checked:
1. Are the Depreciation Expense Account Combinations entered in the Assignments Window and if so are they valid combinations.
2. Is the Queue Name set as 'Post".
3. Is the Asset Clearing Account Combination correct and valid.

I'm assuming that the category information is correctly filled in.

Hope This Helps!!!!!!!!!!!

Hi Members,

When trying to post opening balances of fixed assets from the mass additions interface, we have to run the post mass additions program so that the queue name for the assets brought in from our client's legacy system through SQL Loader changes from "post" to "posted".Two concurrent programs (report set) are simultaneously run when running the post additions program.

However, in our case, the 2 programs are not functioning though the asset opening balances are in the "post" queue status. Can U please advise what must be done so that the assets are posted by running this program. I don't think it is a set-up problem. An early response is greatly appretiated.

Vidyth & Krishna,
I would be very interested in the response as well - I'm having almost the exact same issue! However, issue I have is that Post Mass Additions process has appeared to have posted about 30 out of 1900 assets (dont' know why). All others are still in "Post" status. And when I try to run Post Mass Additons again, I can't get reports to default into report set.

Mass Transfer - cost center trfr incorrect

Subject: FA - Mass Transfers

I have a query on the Mass Transfer transaction:

In the Mass Transfers Form, I had specified the following parameters:

Depr Expense boldFrom/bold 01.480.7320.000.0000 boldto/bold 01.480.7320.000.0000

(2nd segment is cost center segment and 3rd segment is the natural account segment)

boldChanged to /bold 01.720.7350.000.0000

Expected Results : Transfer all the assets lying in the Cost Center 480 (depr. exp. a/c 7320) to cost center 720 (depr. exp. a/c 7350)

However in Mass Transfer Preview Report, it gave me changes from all the existing depr. expense accounts of all the cost centers TO THE new depr. expense accounts and the new cost center (as mentioned in "Changed To"). After running the final Mass Transfer Program, it changed all the cost centers to the new cost center and new depr. expense account.

Kindly let me know what could possibly be wrong.

Thanks in anticipation.

Subject: FA accounting question

Hi all,
I have got an accounting doubt. Can anybody help? From PO to AP the accounting flow is as follows

Dr. Receiving Inspection
Cr. AP Accrual

Dr. Inventory
Cr. Receiving Inspection

Dr. AP Accrual
Cr. Accounts Payable

During FA interface the following accounting flow takes place

Dr. Asset Clearing
Cr. Accounts Payable

Dr. Asset Cost
Cr. Asset Clearing

My confusion is during the FA interface. This asset item has been received. So the liability is being borne by AP Accrual account. When is the transfer of liability from AP accrual to Asset Clearing? What I mean is how does Asset Clearing account get into the picture, when till the AP Invoice stage it will not be mentioned anywhere. Can anyone please explain the accounting flow from PO to FA through AP?

Any meaningful help will be highly appreciated.
Thanks all

Hi, this is my understanding:
If you are Dr. Inventory (from the PO receipt) then I can't understand why you take it to assets. Assuming you have a destination type of Expense, at Po receipt (from PO distribution line) you would DR the Asset Clearing Acct.
In this case, the first set of entries in FA as you described
Dr. Asset Clearing
Cr. Accounts Payable
do not happen at all.

Kermiz.

Hi Surendranath,

Ithink the Asset Clearing Account comes into the picture upon receiving, while the AP Accrual comes in at invoicing. When you run depreciation and post your Asset Journals, the Asset Clearing Account is cleared and Asset Cost Account is debited. The AP Accrual account is cleared on Payment of the invoices.
Hope this helps.

Hi surendernath,
You are aware that during FA interface accounting flow takes place as under:

Dr. Asset Clearing
Cr. Accounts Payable

Dr. Asset Cost
Cr. Asset Clearing

That means, the Asset Clearing is getting squared up by debit and credit entries and what remains is the Dr. Asset Cost ( because inventory is a current asset and it has to be shown in balance shhet as an asset,i.e., current asset)Am I clear.

When you raise a Purchase Order for an Asset, you provide a Debit account as the distribution. This account is transmitted to AP during the matching process. The accounting thereafter is farily simple.

Hi

The procurement process in any organisation deals with both Current and Capital Asset purchases. You are correct in stating that Fixed Assets, by their very nature, are very different from current assets. However, I think the issue here is NOT whether Inventory interfaces with Purchasing for Fixed Asset Purchases - for it doesn't.

Do correct me if I am wrong. But this is how I think we can get this process to work.

You can enter a line on the PO with a description (rather than an inventory item - which points to the MTL_SYSTEM_ITEMS table and hence is current in nature). Have your accounting distribution point to an Asset Clearing Account. The Destination type will default to expense. All this should pass over to AP during matching. Transfer AP to GL. And then to FA. FA transfer to GL. The Asset Clearing gets reversed and the Asset cost is debited. In case, cash is paid for the asset the liability account gets cleared.

Hope this helps.

This is an error which arises due to flexbuilder definition.Run your flexbuilder test.Maybe the combinations it is generating are not valid.Check all the account combinations especially with value 05.If these combinations are not enabled in Gl and the dynamic insertion is not on,then you can get rid of this either by changing your flexbuilder assignments or by changing segment defaults in your corporate book.

MRC Conversion : Accumulated Depreciation calculation

Hi All,

While converting the Opening balance of Assets with MRC Enabled, the document says that i need to populate the FA_MC_MASS_RATES table with the Exchange rate for each of the Mass addition being loaded from the legacy system. This rates are used by the system to arrive at the Asset cost value for the converted assets.

But there seems to be no mention of calculation of Accumulated Depreciation Value. Can any of you clarify as to how this Accumulated depreciation is calculated in the Reporting currency during conversion.

Subject: Reply: MRC Conversion : Accumulated Depreciation calculation

Hi

Fixed Assets is arguably the most complex to implement in a MRC enabled install. However, this is limited to the initial stages. Once the logic of the system is made clear, one would be in a position to rationalise the whole situation.

The FA_MC_MASS_RATES Table must be populated with the exchange rate for EACH LINE in the Mass Addition Table. This is represented by the MASS_ADDITION_ID. Hence for each reporting set of books associated with the primary depreciation book, the exchange rate must be populated - for each line in the Mass Additions Table.

Now, in so far as it relates to asset information, the exchange rate provided will do the trick.

Further, you CANNOT use ADI to upload assets from the legacy system. Simply because ADI is not MRC enabled.

In case you need any detailed clarifications on the issue, do let me know.

Hope this helps.
