Notification Mailer

From: Jason Chan
Subject: Re: Sending approval notification via email
Have you had any experience with the Workflow Notification Mailer in R11? We are in the process of an upgrade to R11.02 and are trying to send PR approval notifcations via Notes. It is not working for us yet. The Mailer is sending only notifications that do NOT require a response. Any notifications that require a response from the users are not going out. We are on Sun Solaris.

Any advice will be appreciated. Regards, Jason Chan

Installation

Subject: Installing Oracle Workflow

We are in the process of upgrading to Release 11 and have found that we need to install Oracle Workflow. The documentation we have does not go into specifics on this particular topic. Can someone shed some light on what we'll need to do to install this application?

I've read that the self-service web applications need to be installed to use Workflo. I've also read that there's an Oracle Workflow cartridge. Is this true? All I have is about a paragraph of info on each. I'd like to be able to give some info to our DBA. BTW, I've looked out on the Metalink site but haven't found much info there either.

Our platform is a Sun Solaris and database version is 8.0.5. If you can provide any information I would greatly appreciate it.

Missy:
I'm working on an R11 project that probably about 2 months further along than yours, so maybe this will help. Workflow is much more prevalent in R11 than it was in R10.7, but it's still not everywhere. If you're installing the "standard" applications, the biggest uses of Workflow seem to be in the PO notifications process and in the Account Generator (which replaces FlexBuilder). When you buy the R11 Apps, you get Workflow as part of the package, and you should have your DBAs install it with the base apps install. You can use the "standard" features of Workflow which are embedded in the Apps. What's not included in this baseline package is the "Workflow Builder", a client software package that's needed to design new workflows or adapt the PL/SQL coding behind existing ones. (Workflow is entirely based on PL/SQL - not SQL*Plus.) Hope this help a bit.

Hi Missy!
On Metalink there is extensive documentation. Go to the Metalink Home page, click on Product References box, then Application Core Technology, then Workflow. This will take you to the Workflow page, where you can then click on Product Documentation and download the entire Workflow Guide. The URL for the Workflow page with documentation is as follows:

Reply to Sub: Installing Oracle Workflow
1. Oracle Workflow on R11 is an integrated product when you install OSSWA. So you shall need to install OSSWA during your Application install.

2. For anykind of Workflow customization work in the future, you shall need Oracle Workflow builder product.

3. For smooth Oracle Workflow implementation you need PLSQL cartridge configured on your Web Server and ensure that you upgrade to R11.0.1 or R11.0.2 to make use of New Workflow features. Please read the Post-install chapter in the Install Guide for configuration of Web server. Here you shall find steps to configure OSSWA. sunil

Make sure you look under the "White Paper" section for Workflow as well. There are a couple of white papers that were helpful in getting our Workflow to work.

As far as the Workflow Cartridge, I understand that it is only required for standalone installation of Workflow. If you are just using the embedded version of workflow with the App, it may not be required.

1. Are you using the "Generate Account Using Flexbuilder Rules" or "Generate Default Account" process?

2. What is the decision you want WF to make based on? Depending on what it is, you may be able to use the standard functions "Compare Text" or "Compare Number" to make the decision and then generate the account segments based on the result.

In general terms, you can use the standard "Compare Number" function to compare the attribute "Order Type ID" with a reference number (e.g. intercompany order id). If the result is "equals", then build your own code combination using the standard functions "Assign Value to Segment" and/or "Segment Lookup Set Value". If other results (or by default), use the "Get CCID for a line" function to use the default code combination.

Keep in mind that once you customize the WF process, Oracle Support will not support this process anymore. Let me know if you need more details.

PO - Requisition approval

Hi All:
When I try to approve a document in purchasing from the submit for approval window on the enter requisitions screen it raised an alert saying that 'the item type workflow does not match the document type'

I had followed all the set up steps in the 'setting up Document Approval and security'

The Reference manual states that"The default approval workflow processes in Purchasing use the approval controls and hierarchies you define according to the setup steps in 'Setting Up Document Approval and Security'.

I also tried with the existing approval workflow... I came to the document type screen and changed the approval workflow to ' PO Requisition approval'.The result was that it did not raise any alert and also it also did not submit the document for approval and the document has an incomplete status. I also tried the other approval workflow 'PO Requisition',and the result was the same.

Would appreciate any help on this Thanks

Is your "Workflow Background Engine" running? If not, it should be scheduled to run every 5 to 10 minutes (or more frequently if needed) through Sys Admin. Also, make sure the min and max threshold are set to 0 and 10,000 for the Background Engine.

How do You configure UNIX Mail

Date: Wed, 07 Jul 1999 08:15:08 -0500
From: Pat McBride pmcbride@mdp.com
Subject: Workflow: How do You configure UNIX Mail

What UNIX sendmail account should be used as the Mail Account for Workflow embedded in Oracle Applications?

The documentation states that we should use the same account from which we start the concurrent manager (currently APPLMGR). When we use this account, a loop is created between the standard APPLMGR mail and the Workflow mail processing program. Thsi creates a loop where workflow is telling APPLMGR that the format of it's mail is invalid and APPLMGR is telling workflow that it cannot accept mail.

Any suggestions?

We configured unix sendmail in Oracle Alerts and for that the key is to have a user created on the mail server who will forward mail picked up from the apps database server to others. This user should receive mail or alerts from Oracle Apps. All depends on whether you uses DNS and the level of security your mail server administrator has set up (eg domain name hiding)

You do not need to modify the customer entry form. What you can do is create a trigger on that table for a new entry, and place the ID in a custom table to be used as a Queue. Then have a periodic alert check the custom table and run the new workflow against all the ID's in that custom table. We do a similar thing for 12 custom workflows that we created for Order Entry.

Oracle Workflow API to return Table of Record

Please gothrough the following Package(ignore PendingReasonListController.OverridePendingReason, this is for handling exception).

create or replace package wms_wf_intface is
procedure wfi_GetCustomerNSYTDAmt

itemkey IN varchar2,
actid IN number,
funcmode IN varchar2,
resultout OUT varchar2
)
is
v_CustNSYTDAmt number;
v_CustID number;
v_order_id number;
v_CustNSYTDLimit number;
R_REASON PendingReasonListController.PENDING_REASON_TYPE;
Begin
v_CustId := wf_engine.GetItemAttrNumber

itemkey => itemkey,
aname => 'ORDER_ID');

v_CustNSYTDLimit := wf_engine.GetItemAttrNumber
(itemtype => itemtype,
itemkey => itemkey,
aname => 'CUST_NSYTD_LMT');

(v_CustID, v_CustNSYTDAmt);

R_REASON.REASON_CD := 'INVALID_NSYTD_AMT';
R_REASON.DISPLAY_TXT := 'NSYTD Amount Greater than permitted';
R_REASON.VALUE := v_CustNSYTDLimit - v_CustNSYTDAmt ;
R_REASON.CREATE_DT := sysdate;
R_REASON.OVRD_ALLOW_IND := 1;
R_REASON.USER_CD := 'USER_CD';
R_REASON.RESOLVED_DT := null;
R_REASON.OVERRIDE_VALUE := null;
R_REASON.COMMENT_TXT :='Update By WorkFlow' ||v_CustId ||v_order_id;

if nvl(v_CustNSYTDAmt,0) > v_CustNSYTDLimit
then
PendingReasonListController.OverridePendingReason('ORDER',v_order_id,R_REASON);

resultout := 'COMPLETE:NSYTD_AMT_T';
else
resultout := 'COMPLETE:NSYTD_AMT_T';
end if;

End wfi_GetCustomerNSYTDAmt;

Noe I need to write another interface package for a process on Oracle WorkFlow and I need to call a procedure which returns a TABLE OF RECORD. What is the exact API I need to use to handle this problem. Please help me out. Write me for anymore details.

It all boils down to this:
call createprocess
set item attribute values that pertain to this instance of the process
call startprocess.

Where you do all these workflow API calls is totally up to you. In your PL/SQL stored procedure, program, your C program that talks OCI, a form (that triggers an event), a database trigger (in which case you should have the process deferred immediately), etc. Of course if you start it from a form that form needs to have registered with Apps, etc.

Does this help? I'm not sure how familiar you are with the terms I used above. Email me if you need clarification. Thanks.

You will need to install the WorkFlow Builder software on your PC (client) and then learn to use it to be able to make the changes.

The way to learn it is to either take a class or just dive into it and learn by getting references from other people who have used it.

Hope this helps and you are successful in your task
